INFORMATION WE RECEIVE

What information do we receive?

Depending on how the website is used, the following categories of information may be received:

  • Contact and organisational information: Full name, organisation, job title, telephone number and email address.
  • Request information: Request type, urgency, medicine, product or partnership subject, manufacturer or country of origin, dosage form, quantity and additional description.
  • Technical information: Submission time, originating page, essential browser and server information, and the network address that may be recorded in hosting security logs.
  • Abuse prevention: A temporary, non-displayable identifier derived from the network address is used to limit repeated submissions.
Data-minimisation principle: Provide only the information necessary to assess your organisational request.
03

PURPOSES

Why do we use this information?

  • Receive, classify and initially assess supply, consultation and business partnership requests.
  • Contact the organisation's representative to complete information and respond.
  • Assess product or medicine sourcing feasibility with relevant internal teams, business partners or suppliers.
  • Maintain professional correspondence, follow up services and meet contractual obligations or competent-authority requirements.
  • Prevent automated submissions, abuse, attacks and disruption of website operation.

Submitting a form does not confirm supply feasibility, create a contractual relationship or commit to a delivery time.

04

RETENTION

Where is information stored and for how long?

Data location or type Storage method Retention or deletion criterion
Request-form information It is not archived in a separate WordPress database list and is sent to the company's official email inbox. Retained for as long as necessary to assess, respond, conduct business follow-up and meet related obligations.
Outgoing-email technical logs Recorded in the website email system for delivery monitoring and troubleshooting and may include sender, recipient, subject and message body. Up to 14 days, then deleted automatically.
Temporary repeated-submission control Temporary hashed identifier used for submission-rate control. Short term and solely to prevent repeated submissions.
Hosting technical logs May be recorded by the hosting infrastructure for security, troubleshooting and service stability. According to the hosting provider's security settings and retention policy.

When there is no longer an operational need and no contractual, legal or dispute-related requirement applies, unnecessary records are deleted or removed from operational access.

05

LIMITED SHARING

Who may receive the information?

Sina Arya Gene does not sell personal information. Access or transfer occurs only where necessary in the following circumstances:

  • Employees and internal teams that need the information to assess or respond to a request.
  • Hosting and email service providers, solely to provide and maintain the service.
  • Suppliers, manufacturers or business partners inside or outside Iran, only to the extent necessary to assess a request and without unrelated information.
  • Iran's Food and Drug Administration, the Iranian Red Crescent Society, judicial authorities or other competent bodies where disclosure is necessary for an official process or valid legal requirement.
Before information is shared with a business partner, its scope is limited as far as possible to what is necessary for that review.
06

SENSITIVE INFORMATION

Patient medical or identifying information

The public website form is not designed to receive medical records, patient prescriptions or personally identifying information. Do not enter or attach any data that could identify a patient.

Do not submit: Prescription or medical-record images, patient names or national IDs, test results, insurance information, treatment history or any confidential health data. If a formal process is required, contact the company first so an appropriate secure route can be provided.
07

COOKIES

Cookies and tracking technologies

The website does not currently use non-essential advertising or behavioural analytics tools. The content-management and security systems may use necessary cookies or technical identifiers for correct operation, session management, administrator login and abuse prevention.

If analytics, advertising, third-party maps or video, or other non-essential cookies are added in the future, this policy will be updated and user choice will be provided before activation where required.

08

SECURITY

How do we protect information?

  • Encrypted HTTPS connections for data transfer between the browser and website.
  • Authenticated and encrypted transmission of website email.
  • Input validation, legitimate-request checks and repeated-submission limits.
  • Administrative access limited to necessary people and roles.
  • System updates and technical monitoring within infrastructure capabilities.

Despite reasonable security measures, no electronic transmission or storage is entirely risk-free. Do not submit sensitive or unnecessary information through the public form.
